• your property address, postcode and access information where needed for a site visit or project;

3. How we obtain personal information
Most information is provided directly by you when you make an enquiry, request a quotation, arrange a site visit or
become a customer. We may also receive relevant project information from another person involved in the same project,
such as a household member, builder, architect, designer or other contractor.
4. Why we use your information and our lawful bases
We only use personal information where we have a lawful reason to do so. Depending on the circumstances, this may

• taking steps at your request before entering into a contract, for example responding to an enquiry, discussing a project
or preparing a quotation;
• performing a contract with you, including arranging work, carrying out the project, ordering relevant materials and
communicating about progress;

Photographs may be taken or used where they are needed to assess, quote for, plan, carry out or record a project. We will
not intentionally publish images that identify you personally without an appropriate reason or permission. Where
completed-project photographs are used on our website, Google Business Profile or social media for portfolio or marketing

UK data protection law requires safeguards for an international transfer, we expect the relevant provider or arrangement to
use an approved transfer mechanism, an applicable adequacy regulation or other lawful safeguard.
8. How long we keep information
We keep personal information only for as long as it is reasonably needed for the purpose for which it was collected,
including legal, accounting, insurance and dispute-resolution requirements. As a practical guide:
• general enquiries that do not proceed: normally up to 12 months after the last meaningful contact;
• quotations that do not proceed: normally up to 2 years where useful for reference or follow-up;
• customer and project records: normally up to 6 years after completion where they may be needed for contract,
insurance, warranty, complaint or legal purposes;
• tax and accounting records: for at least the period required by HMRC and other applicable law;
• reviews or portfolio material: while it remains relevant, unless there is a valid reason to remove it sooner.
We may keep information for longer where a legal requirement, dispute, insurance matter or other legitimate reason
makes this necessary.
9. Keeping information secure
We take reasonable steps to protect personal information against loss, misuse, unauthorised access, alteration or
disclosure. Access is limited to people and service providers who reasonably need the information for the purposes
described in this notice.
